3 Tips to Optimize Your Time and Increase Business Profits

If you feel overwhelmed by the sheer amount of tasks on your plate and you are struggling to find time to optimize your business and increase profitability, you are not alone.

I asked my network what their biggest bottleneck was, and the overwhelming response was time optimization. That honestly surprised me, but when I sat with it, it also made total sense.

Time is flying. Everything feels fast. There is noise and clutter everywhere. And a lot of entrepreneurs are living in a constant state of overwhelm, which makes time feel even worse.

But here is the thing.

Most of the time when people say they have a time problem, time is just the surface level. It is the tip of the iceberg. The real issue is deeper.

The Surprising Truth About Time Optimization

When I see people struggling with time, a couple things are almost always true.

One, they have far too much on their plate. It is near impossible to optimize your time for profitability when you literally have more on your plate than you can physically do. Unless you never sleep. And that is not the goal.

Two, they are doing a ton of tasks but do not know why they are doing them. There is a lack of focus. There is a lack of plan. They do not have a clear sales strategy. So they are busy all day, but the work is not tied to a clear direction.

If you do not know what you are trying to achieve, it is impossible to optimize your time.

The Questions That Actually Solve the Problem

If time feels like the issue, start here.

Where do you feel like you are not optimizing your time? What is not going well? Is it that you have no processes in place, so everything is labor intensive and different every single time?

Is it that you are spread too thin? Are you trying to do everything all at once? Are you building a to do list for the week that would only be possible if you had zero calls and an entire week to work on your business?

And then there is time distortion. You think something will take 30 minutes and there is no way it is getting done in 30 minutes. Especially if you are neurodivergent or have ADHD. You underestimate time, overpack your day, and then wonder why you are always behind.

The Real Reason You Feel Like You Are Struggling

A lot of this comes back to focus and structure.

If you have no clear focus, no clearly defined North Star, you end up floundering. You stare at the screen. You scroll. You do whatever feels urgent. You create content, send an email, pop into a group, respond to a client, then do it all over again.

It is not that you are lazy. It is that you are operating without a clear plan.

And if you do have a focus but still feel like there is more to do than you can ever get done, that is a capacity issue. Maybe a delegation issue. Maybe you are doing busy work you do not need to be doing.

Either way, the answer is not “manage time better.”

The answer is reduce what is on the plate and get clear on why it is there.

A Real Example: The 60-Day Focus That Fixed the Chaos

One of the members inside Focus Visionary Accelerator sent me her worksheets before our call. She is relaunching and rebranding. Her 60-day focus is to redo her website, update her packages, and position herself to be known as the expert in a new area moving into the new year.

But she was already committed to about 30 hours of work every week. Part-time job, networking meetings, all the things. And then she tried to add more networking, more social posting, three or four blogs, conversion events, mini shoots, travel. It was not possible.

So we scaled it back.

Her focus is the website. That is the project.

And the only “visibility” she needed to add was sharing examples of her photography once a week, just to stay visible while the main work gets done.

That is time optimization. Not doing more. Doing less, on purpose.

The Part You Keep Skipping: Everything Has a Back End

Another reason time blows up is because you only account for the surface level task.

You say, “I am going to start promoting my offer.” Great. But what about the cart? What happens after they pay? Do you have the emails set up? The tags? The automations? The links? The graphics? The sequence?

I thought I was going to quickly launch my business planning program. Then I realized all the back end pieces still had to be built. It took hours to make sure everything worked properly.

A lot of you are not factoring that in. That is why your calendar explodes.

How Do You Optimize Your Time Without Burning Out?

Here is the simple framework I want you to use this week:

  • Do you have too much on your plate? If yes, take something off. Be ruthless.
  • Why is it on your plate? What is the goal? What are you trying to achieve by doing it?
  • Can it wait? Not everything has to happen right now. Not everything is a priority.
  • Are you accounting for the back end? Promotions are never just promotions. Make space for setup and execution.
  • Are you “on” all the time? Calls, DMs, Voxer, WhatsApp, email, messenger. Constant availability wrecks focus and productivity.

Your Phone Being On All Day Is a Recipe for Disaster

One of the biggest time management problems I see is calls and constant communication. Being available all the time. Jumping from call to call. Responding to every notification as soon as it hits your screen.

That is a recipe for disaster. Especially if you need quality thinking time.

I had a couple weeks where I was overwhelmed because I was “on” all the time. Voxer, WhatsApp, Messenger, all open at once. Any message came in and I stopped what I was doing. That creates chaos.

So I changed my boundaries.

Now I have one full day with no calls, and another day with calls only in the morning so I have focused time to get things done. And I do a lot of work on Saturday mornings because it is quiet and nobody is bugging me. That is why it works.

And yes, I love being responsive. I love seeing people take action. But it is not beneficial if I feel chaotic. That is not fair to me, and it is not fair to clients either.

The Teaching Moment

You cannot optimize your time if you keep stacking more onto an already overloaded plate.

Time optimization starts with focus. Then a clear plan for execution. Then boundaries around availability.

And sometimes it is as simple as removing things from your plate and admitting you do not have to do everything all the time.
